Heka Pilates
Terms & Conditions

HEKA PILATES TERMS AND CONDITIONS

These Terms and conditions apply to our class memberships and our one to one services and are effective from the point at which a member joins or one to one sessions start. From time to time, we amend our terms and conditions and reserve the right to so this at any time. We will provide you with an updated copy if we do this if you are affected. The agreement is made between 1) (“We” / “us”) Heka Pilates and 2) ("you") as the customer. Unless we have agreed otherwise with you (which we would do in writing), purchase of our services is subject to the following terms & conditions.

PAYMENTS – CLASS MEMBERSHIP

We cannot guarantee to secure your space in any of our classes until you have signed up via our membership system and registered for direct debit payments.

Payments for your membership will be collected via direct debit on the 1st of each month via Go Cardless. Your payments will be covered by the Direct Debit Guarantee, and Go Cardless will send you full details of this when you sign up.

If you sign up from any other day that the 1st of the month, a pro-rata payment for the month of joining will be collected as your first payment followed by your usual monthly payment which will commence from the 1st of the following month.

If Heka Pilates offers other events e.g.: retreats or workshops, members will be given priority booking options and these events will be charged separately. Payments for these optional, ad-hoc events are non-refundable but can be transferred to other Heka Pilates events if the change is made more than 14 days before the course date. If Heka Pilates needs to cancel for any reason, a full refund will be made.

New joiners are able to attend a trial class before joining if they choose to and this will be charged separately to your membership. Please note that your place in the class is not secured until you become a fully signed up member.

PAYMENTS – ONE TO ONE SESSIONS

Your one to one session cannot be guaranteed until payment for your session (or block of sessions if you are purchasing a block) has been made to secure your timeslot.

Where you are paying as you go, payment is due 24 hours before your session.

Sessions are non-refundable but can be transferred to a new session if the change is made more than 24 hours before your timeslot. If Heka Pilates needs to cancel for any reason, as much notice as possible will be given and either a refund will be made or a new session booked.

YOUR MEMBERSHIP

Your membership includes:

- Your weekly class every week during term time (online for online memberships and face to face for those selecting a location-based class membership)

- 3 Morning Move sessions a week

- Monthly live online relaxation session which will be recorded so you can then use as often as you choose.

-On demand workouts

If you are unable to attend one of your booked classes, please let me know by e-mailing karen@hekapilates.co.uk I will do my best to find you a space at an alternative class during the term, but this isn’t always possible, and can only be offered once per term and only in unavoidable circumstances.

NOTICE AND CANCELLATIONS – MEMBERSHIPS

Your membership is calculated in whole calendar months which means:

One calendar months’ notice of cancellation is required and so where you wish to give notice of cancellation during a month, we treat it as received on the 1st of the following month and that will be the date of the last payment, we collect from you. e.g.: if you give one months’ notice on the 20th of January, your notice starts on 1 February and your last payment will be collected on that day, you are of course, welcome to attend classes during your notice period.

Notice can be given via email to karen@hekapilates.co.uk

From time to time we will need to contact you about your membership, so please keep your address, contact phone number and email address up to date on our membership system.

HEALTH AND SAFETY

Your safety if of our utmost concern and you will be asked to complete a health questionnaire at the time of joining classes or starting one to one sessions so that we can assess your suitability for Pilates. If your answers to the questions asked at any time changes during your membership e.g.; if you are diagnosed with certain conditions, or have surgery for example, please contact Karen Mayor at karen@hekapilates.com so that we can help you to ensure that your Pilates practice is safe at all times.

If you, or any of the party, have recently travelled to any areas affected by Coronavirus where you are required to quarantine (as outlined on the Gov.uk website), been advised to self-isolate under the Test and Trace programme or have symptoms associated with Coronavirus, you must inform us immediately and should not attend your class or one to one session until safe to do so.

Heka Pilates holds relevant and up to date public liability insurance.

EQUIPMENT

You will need to wear socks, and bring a small and large towel to all your classes and sessions.

If you are attending one to one sessions, please wear a mask or face covering to walk through my house to the studio, where you will be able to remove it. I will also ask you to wash your hands and have your temperature on arrival to ensure that the studio is as safe as possible for everyone attending sessions there.

Due to health and safety, I am unable to provide equipment at each class. You will need to bring a Pilates mat to your classes and may find that bringing other equipment such as blocks or balls is useful for your progress.

I have an online shop that you can purchase items from and I can also hire items to you for a term (or block for one to one classes) at a time – please let me know if you’d like to do this. Any hired equipment must not be shared with other class members and must be returned or rehired at the end of the term or block.
